General AI receptionist FAQ
What does an AI receptionist do for a small business?
It answers the phone whenever you cannot. An AI receptionist greets callers, works out what they want, gives answers from information you supply and books work in, so callers are looked after even while you are on a job, with a client or closed for the night.
Who is behind RingOut?
RingOut is built by RingOut Pty Ltd, a company owned in Australia. RingOut is the product you sign up for, and Miya is the name of the AI receptionist who talks to your callers. Our team is based in Australia, and every price, plan and invoice is in Australian dollars.
Which kinds of businesses use RingOut?
Any local business that loses work when the phone goes unanswered. That includes tradies, clinics and allied health, salons and spas, mechanics, real estate agencies, hospitality venues, retailers, professional firms and education providers. If your phone rings while your hands are busy, Miya is designed for that moment.
Is Miya a recording or a real conversation?
Miya holds a real conversation. She responds to what each caller actually says, asks follow-up questions and adapts as the call goes, instead of playing a fixed menu or a pre-recorded message. Callers can interrupt, change their mind or ask two things at once, and she keeps up.
Can RingOut replace my receptionist?
Yes, for many small businesses it covers the whole job of answering, qualifying and booking calls. Some businesses use it as their only receptionist, while others keep their staff and let Miya step in at lunch, in the morning rush and overnight. No caller is left waiting or sent to voicemail.
Setup and your phone number
How quickly can RingOut start answering my calls?
Usually on the same day. Picking a plan takes minutes, entering your business details and connecting a calendar takes around half an hour, and switching on the divert with your carrier is a short final step. A test call then confirms Miya is answering correctly before customers ring.
Do I keep my current business number?
Yes. Nothing about your number changes, and customers keep dialling the number on your website, van and cards. You add a divert so calls reach RingOut, and you can remove that divert at any time to go back to answering every call yourself.
Which phone carriers work with RingOut?
RingOut works with the major Australian carriers, and step-by-step divert guides are available for Telstra, Optus, Vodafone and TPG. Most business phone systems also support the same kind of divert. If you use a different provider, our team can walk you through the settings during setup.
Can Miya answer only the calls I miss?
Yes. Most carriers let you divert only when your line is busy or when you do not pick up within a set time. You can also divert every call, or set the divert to apply only outside opening hours, and change the arrangement whenever your routine changes.
Do I need any special equipment?
No. There is no hardware, app or new phone system to install. RingOut runs in the cloud, and you manage it from a web dashboard on any computer, tablet or phone. All you need is your existing business number and a few minutes to set up the divert.
Calls and Miya
What does Miya say when she answers?
She greets the caller using your business name and lets them know they are speaking with an AI receptionist. From there she asks how she can help and steers the conversation towards a booking or an answer. You can write the exact greeting yourself in the dashboard.
How does Miya know about my business?
From the knowledge base you fill in during setup: your services, prices, hours, service area, policies and the questions you ask before taking on a job. She uses only that information when answering callers, and any change you make in the dashboard applies from the next call.
What if a caller asks something Miya has not been taught?
She will not guess. Miya explains that she will pass the question on, collects the caller's name and number and flags the call so you can follow up personally. If the same question keeps coming up, you can add the answer to your knowledge base for next time.
How many calls can Miya take at the same time?
It depends on your plan: two simultaneous calls on Starter, four on Growth, eight on Professional and twelve on Business. Extra concurrent calls can be added for $20 a month each. Callers beyond your limit hear an engaged tone, so choose a plan that matches your busiest hour.
Does Miya work on weekends and public holidays?
Yes. Miya is available around the clock, every day of the year, including weekends, Christmas Day and every public holiday, at no extra charge. Those calls draw on your normal monthly allowance, exactly like a Tuesday morning call, so there is no surcharge to budget for.
Can I choose how Miya sounds?
Yes. You pick from a set of natural Australian voices and can change the voice whenever you like. Every plan can choose from the same 8 voices, 2 of them Australian and the rest British or American, which suits businesses that want a different voice for each location or line.
Bookings and calendars
Which calendars does RingOut connect to?
Google Calendar and Calendly. Once connected, Miya can see which times are free and add new appointments directly, with the caller's name, number and service attached. The connection takes a few minutes during setup, and you keep managing your diary in the calendar you already use.
Can Miya double-book me?
No. The connection works in both directions, so anything already in your calendar, including bookings you add yourself, is treated as taken and never offered to a caller. If the time a caller wants is gone, Miya offers the nearest free times instead until one suits.
How does a caller confirm their booking?
Before the call ends, Miya reads the date, time and service back to the caller so they can confirm or change it. The appointment then appears in your calendar straight away. Text confirmations are planned as part of SMS follow-up, which is coming soon.
Can I control which times Miya offers?
Yes. Miya only offers times your calendar shows as free and within the hours you set, so you can block out time for travel, admin or days off as you normally would. Anything you block in your calendar disappears from offer the moment you save it.
Recording, privacy and data
Are calls recorded?
Yes, on the Growth, Professional and Business plans, where calls are also transcribed. Each recorded call begins with a short notice telling the caller the call is recorded. Starter does not record calls, although every call on every plan still gets an outcome label and the caller's details.
Where is my call data kept?
Everything RingOut keeps, from recordings and transcripts to your business details, sits in a Sydney data centre. During a call, the live audio passes through speech and voice services in the United States so Miya can understand and reply, and it is not kept there.
Is RingOut fully hosted in Australia?
Not entirely, and we do not claim it is. Stored data stays in Sydney, but live call audio is processed in the United States during the call so Miya can understand and reply. We publish this so you can decide with the full picture before you sign up.
Who can see my call records?
Only people with access to your business account. Your dashboard is private, and call records are kept for your business and are not shared with other RingOut customers. You decide who in your team has a login, and you can remove access at any time.
Plans and billing
What are the RingOut plans?
The RingOut plans are Starter, with 60 minutes for $49 a month, Growth at $149 with 250 minutes, Professional at $399 with 900 minutes and Business at $699 with 1,750 minutes. Larger organisations can ask for an Enterprise quote with pooled minutes and custom limits.
Is there a discount for paying yearly?
Not yet. Every plan is billed monthly and you can cancel at the end of any month. We plan to add yearly billing and will say when it is available.
What counts as a minute?
Minutes are the time Miya spends on calls she answers for you, counted from when she picks up to when the call ends. Each plan includes a monthly allowance, and the dashboard shows how much you have used so far, so there are no surprises at the end of the month.
What if I go over my monthly minutes?
Miya carries on answering, so no caller is ever turned away. Each extra minute costs 99 cents on Starter, 75 cents on Growth, 60 cents on Professional or 50 cents on Business. If you go over most months, a larger plan usually works out cheaper.
Are there setup fees or contracts?
Setup is free on every plan, and monthly plans can be cancelled in any month without a lock-in contract. All prices are in Australian dollars and do not include GST.
Can I add more phone numbers?
Yes. Each plan includes a set number of local numbers, from one on Starter to five on Business, and more can be added for $10 a month each. Extra numbers suit businesses that run separate lines for different services, locations or advertising campaigns.
Features and what is coming
Which features come with Starter?
Starter covers answering calls around the clock, booking appointments, your knowledge base, one Australian voice, an outcome label on each call and call analytics. It suits a sole trader who needs the phone answered while working, with 60 minutes a month for $49.
Which plan adds recordings and summaries?
Growth. From the Growth plan up, every call is recorded and transcribed, and a short summary sits beside the outcome label for each call. That makes it easy to check what was said on any call without listening to the whole recording.
Which plan includes spam call screening?
Professional and Business. On those plans, Miya asks unknown callers what they need and politely ends sales pitches and scam calls before they reach you. Screened calls still appear in your dashboard labelled as spam, so you can check them if you ever need to.
Can RingOut transfer calls to me?
Not yet. Warm call transfer is in development and will let Miya brief you on a caller before connecting them to your mobile. Until it launches, calls that need you are flagged in the dashboard with who rang and why, so you can phone them back quickly.
Does RingOut send texts after a call?
No, not yet. A feature called SMS follow-up is being built to send booking confirmations after calls. For now, RingOut sends no messages of any kind, and Miya confirms each booking out loud with the caller while they are still on the phone.
Is call routing available?
Not yet. Call routing is coming soon. Today, every call is answered by Miya and labelled with an outcome, so you know which calls need which person in your team.
AI receptionist FAQ for Australian businesses
Does RingOut make outbound calls?
No, never. RingOut only answers calls that people make to your business. It does not cold call, follow up leads by phone or ring anyone on your behalf. Following up an enquiry is always up to you, with the caller's details already collected.
Does RingOut need to check the Do Not Call Register?
No. The Do Not Call Register applies to unsolicited telemarketing calls, and RingOut makes no outbound calls at all. Every conversation is with someone who chose to ring your business, so there is no register to check and nothing else to manage.
Is it legal to record calls in Australia?
Yes, with conditions. Recording rules differ between states, and some require every party to know a call is being recorded. RingOut opens each recorded call with a notice so callers are told before the conversation starts. If you have specific legal obligations, check them with your own adviser.
Does Miya understand Australian accents and place names?
Yes. Miya is set up for Australian speech, including local accents, everyday expressions and suburb names. If a caller says something she is unsure about, she asks them to repeat or spell it, so names and addresses are recorded correctly for your booking.
Are RingOut prices in Australian dollars?
Yes. Every price is set in Australian dollars and shown before GST, and bills are issued by RingOut Pty Ltd, an Australian company. Extra minutes, extra numbers and extra concurrent calls use the same currency, so your monthly cost is easy to predict.
